Event Washroom Trailers: Your Questions, Honest Answers

Modern restroom with toilet and sink

We get a lot of questions before people book a washroom trailer. That’s completely fair — it’s not something most people have rented before, and there’s a real difference between a great setup and one that becomes a story people tell for the wrong reasons.

So here are the questions we hear most often, with straight answers.

How far in advance should I book?

For most events, two to four weeks is fine. For summer weddings and larger events between May and September — especially across the Cowichan Valley, Victoria, and Parksville — we’d strongly suggest booking a few months out. Summer fills up fast and our luxury trailers are the first thing to go.

That said, if you’re in a pinch, call us anyway. We’re on the island, which means we can sometimes move faster than you’d expect. We’ll tell you honestly what’s available.

How many stalls do I actually need?

Here’s the honest version, not the upsell version:

  • Up to 150 guests — a 2-stall trailer works well
  • 150 to 300 guests — our 3-stall luxury trailer is the right call
  • 300 or more — give us a call and we’ll figure out a multi-unit setup

If you’re serving alcohol, add roughly 25% to those numbers. For all-day events or festivals, we’d suggest scaling up, or scheduling more frequent servicing throughout the day. We can also do a mix of a trailer and portable toilets if you want capacity without the cost of multiple trailers.

When in doubt, call us and tell us what you’ve got. We’d rather help you get it right than have your guests waiting in a line!

What’s actually included in the rental?

Delivery, set-up, and collection are all included. The trailer arrives fully cleaned, sanitized, and stocked — locally made hand soap, paper towels, toilet paper, the works. Climate control is running, the lighting is on, the flush toilets are working.

For multi-day events, we offer scheduled servicing to keep everything fresh throughout. For premium events where you want someone on site to keep the trailer stocked and tidy during the event itself, we can arrange that too.

Think of it as hotel-quality amenities somewhere your guests won’t be expecting them. That’s the goal.

What’s the difference between your luxury and comfort trailers?

Good question — we have two event options and they’re both genuinely great.

The luxury trailer has finer finishes: laminate floors, classier countertops, some interior decor. It’s the one for formal weddings and upscale corporate events where the aesthetic matters.

The comfort trailer is more durable in its look — rubber floors, stainless steel countertops — but the experience for guests is still a massive step up from a standard portable toilet. Plenty of our clients have used it for weddings and been extremely happy.

If you’re not sure which one fits your event, describe it to us and we’ll give you our honest read.

Does the trailer need power and water?

Most of our trailers do need a standard power connection and a water source. If your venue doesn’t have those, that’s not a problem, we can supply a generator and water tank to make the setup fully self-sufficient. Just let us know when you book so we can plan accordingly.

What do I need to have ready before delivery?

Not much. We need a reasonably level area, vehicle access to the site, and power and water if you’re not having us supply them. If your access is tight — a narrow lane, soft ground, a steep approach — send us a photo and we’ll tell you what we need before we show up.

We’ve set up in some interesting spots over the years. We’ll work it out!

Do you deliver to the Saanich Peninsula, Gulf Islands, or Parksville?

Yes to all of them. We cover Greater Victoria including Sidney, North Saanich, and Brentwood Bay. For the Gulf Islands, get in touch directly because logistics vary by island and season. For Parksville and the Oceanside area, including Qualicum Beach, Errington, and Coombs, absolutely — Parksville summer events are a busy part of our calendar.

Because we’re island-based, there’s no mainland surcharge on your quote. You’re not paying for a ferry.

What if something goes wrong during my event?

You call us. A real person answers — not a voicemail system, not a call centre routing your request to a contractor somewhere on a list.

We’re on Vancouver Island. If there’s a problem at your event, we can actually do something about it. That’s not a marketing line — it’s a genuine operational difference between us and a company managing Island routes from the Lower Mainland.

It’s one of the main reasons people come back to us.

As an event planner, what do I need to think about when renting?

The things that catch planners off guard most often:

  • Guest count and event duration — these drive the stall count more than anything
  • Whether alcohol is being served — plan for higher usage
  • Venue access — let us know about anything unusual
  • Power and water availability — or confirm we’re supplying
  • Service frequency for multi-day events

We work with event planners regularly and we know how to make this easy. One conversation at booking usually covers everything. Check out our blog post on why washroom trailers are essential for events for more info!
